PT Education Programs Manager - Music Theatre (NW Chicago)

EDUCATION PROGRAMS MANAGER

Windy City Performs, Chicago's fastest growing professional theatre and performing arts conservatory, is looking for a part-time, permanent Education Programs Manager, to start immediately.

The Education Programs Manager will manage the processes, communications and tasks that keep our education programs running, and will assist the Managing Director/Assoc Dean of Conservatory in supervising & training teachers, creating new classes, and cultivating new schoolsite programs. This position will also work closely with the Associate Producer, whose responsibilities include the Schoolsite, Summer Camp and Kids Company non-ticketed shows. 

This position will start at 18 hours per week, with a summer schedule that includes Monday thru Friday (time flexible).  During the Fall and Spring semesters, we may also want to include 3-4 hours every other Saturday morning.

Reports directly to: Managing Director/Associate Dean of Conservatory.

Collaborates with: Production Manager, Assistant Production Mgr, Marketing Manager, Education Projects person, and Artistic Director.  Also works closely with Schoolsite liaisons/building principals, and teachers/directors of the various programs. 

Pay starts $13.50/hour.

Anticipated starting schedule:  18 hours per week. 

 

KEY JOB FUNCTIONS:

Specific duties in each functional area include the following.  This list may not be complete.

Customer Service

  • Develop excellent relationships with students and their families.
  • During office hours, serve as a customer service contact.
    • Answer phone calls and email messages.
    • Greet visitors who come to the office or lobby.
    • Assist with enrollments in-person and over the phone.
    • Assist with ticket purchases in-person and over the phone.

Enrollment / Registrar Services

  • Set-up classes for studio and schoolsite classes and camps on Company website and in Parent Portal.
  • Set-up & maintain system for music private lessons and audition/monologue coaching.
  • Maintain registration database with updates, corrections, etc. requested by families.
  • Assist families with enrollments as requested.
  • Process cash or check payments, or take payments over the phone.
  • Track overdue payments and send reminders, as needed. 
  • Print rosters for teachers; create attendance binders and emergency info cards for each class & program.
  • Communicate logistics of schoolsite classes to principals or building contacts to ensure smooth starts to each session.
  • Process financial aid requests. 
  • Coordinate financial aid recipient family barter/volunteer hours.
  • Send welcome notes to families ​for each class at the start of the session.
  • Coordinate our new Birthday Party program; arrange for teaching artists and space reservations. 
  • Other related duties as requested.​

Teacher Hiring, Training & Payroll

  • Assist Assoc Dean with interviews of teaching artists. 
  • Create contracts for newly hired teachers. 
  • Complete hiring paperwork for newly-hired teaching staff.
  • Maintain teacher contact lists.
  • Assist Assoc Dean with quarterly teaching orientation and trainings. 
  • Process bi-weekly teacher paychecks. 
  • Other related duties as requested.​

Curriculum and Teacher Support

  • ​Set-up & maintain system for music private lessons and audition/monologue coaching. 
  • Occasionally attend rehearsals to assist Assoc Dean with areas like classroom management, student behavior, and schoolsite communication or relationship challenges. 
  • Print scripts and other curriculum materials for teachers at the start of each session. 
  • Create and print certificates for Schoolsite Level 1 & 2, Dance, Lessons, and KidStage program completion at the end of each semester or camp.
  • ​Other related duties as requested.​

Production

  • Work with Production Manager and Associate Producer  to make sure Youth, Kids, Teen, and Schoolsite showings are successful. 
  • Recruit parent volunteers for various Production-related tasks in Youth, Teen or Schoolsite programs.   
  • Other related duties as requested.​

Administration & Collaboration

  • Assist with creation of systems and processes which will help the Company continue to grow.
  • Provide excellent customer service to those who visit or call the office.
  • ​Update social media accounts and website with education-related content, as directed.  ​
  • Support the recruitment efforts of the Company by occasionally attending open houses, community events, summer festivals, etc. on behalf of the Company.
  • Serve in Saturday morning rotation at theatre to answer parent questions and assist teachers; about every other Saturday, in a rotation with other team members. 
  • ​Participate in Education and Staff meetings on a regular basis.   
  • Assist with supervision of administrative or education interns that may be hired for summer and beyond. 
  • Other related duties as requested.​

Requirements
Skills & Qualifications: 

PREFERRED QUALIFICATIONS

  • College degree in performing arts, education or similar.
  • At least one year successful experience in an arts administration or arts education environment (including internships).
  • At least one year successful experience in customer service position. 
  • Ability to pass criminal background check.
  • Availability for Monday thru Friday (hours flexible) during summer, and some Saturday mornings in the Fall.  Also, occasional early evening hours may be required during Schoolsite final showings.

Understanding of performing arts, theatre, and arts education.

Ability to understand multiple levels of programs. 

Ability to remain positive and cool under constantly changing circumstances and multiple deadlines.
